The Part-Time Accountant will be responsible for managing all accounting functions for the company. This includes overseeing accounts payable, accounts receivable, month-end closing, and financial reporting. The role requires a highly organized and detail-oriented individual with proficiency in QuickBooks and a deep understanding of accounting principles. The Accountant will work on-site at our company location and report directly to the CEO, ensuring accurate financial reporting and efficient accounting processes.

Requirements

Position Responsibilities - Essential

• Accounting Oversight
  
  
  • Manage and maintain all accounting functions for the company, ensuring financial records are accurate, complete, and compliant with applicable laws and regulations.
  • Oversee the full-cycle accounting processes, including preparation of monthly, quarterly, and year-end financial statements.
  • Monitor the company’s financial performance and provide timely reports to the CEO, highlighting key financial metrics.

• Accounts Payable Processing
  
  
  • Process all vendor invoices, ensuring timely payment and accurate expense tracking in QuickBooks.
  • Reconcile accounts payable transactions and resolve payment issues with vendors as needed.

• Accounts Receivable Management
  
  
  • Generate customer invoices, ensuring all billing is accurate and sent in a timely manner.
  • Monitor and follow up on overdue accounts to ensure the company’s receivables are managed effectively.
  • Record payments and allocate them to appropriate accounts in QuickBooks.

• Month-End and Year-End Closing
  
  
  • Complete month-end closing procedures, including reconciling all bank accounts, credit cards, and internal accounts.
  • Prepare journal entries and review financial data to ensure accuracy before preparing month-end reports.
  • Assist with year-end closing, including preparing financials for tax filing and audit purposes.

• Financial Reporting and Analysis
  
  
  • Prepare and present monthly financial statements, including income statement, balance sheet, and cash flow statement.

• QuickBooks Management
  
  
  • Utilize QuickBooks to manage all accounting activities, ensuring it is properly updated and configured for accurate reporting.
  • Maintain the company’s chart of accounts and ensure accurate categorization of all transactions.
  • Assist with QuickBooks system updates and troubleshooting as needed.

Position Responsibilities - Non-Essential/Other

• Execute additional ad-hoc accounting or financial tasks as directed by the CEO.
• Communicate directly with the CEO regarding financial performance, discrepancies, or major accounting issues.
• Assist with any special projects or reports as requested by the CEO.

Essential Knowledge, Skills, and Abilities

• Communication: Strong written and verbal communication skills; ability to present complex financial information in a clear and understandable way to the CEO and other stakeholders.
• Attention to Detail: Exceptional accuracy and attention to detail, particularly with financial data entry and reconciliation.
• Organization: Ability to manage multiple accounting tasks simultaneously while ensuring deadlines are met.
• Problem-Solving: Strong analytical skills and ability to identify and resolve accounting discrepancies or errors.
• QuickBooks Proficiency: Expert-level knowledge of QuickBooks for accounting functions such as invoicing, bill payment, reconciliation, and financial reporting.
• Time Management: Ability to effectively manage time and prioritize tasks in an on-site work environment with minimal supervision.
• Financial Acumen: Strong understanding of financial statements, budgets, and accounting principles.

Education and Experience

• Associate’s degree in Accounting, Finance, or related field (Bachelor’s degree preferred).
• Minimum of 3 years of experience in accounting or finance roles, with a strong focus on QuickBooks and full-cycle accounting.
• Proficiency in Microsoft Office, particularly Excel (pivot tables, formulas, etc.).
• Experience preparing financial statements and tax filings.
