Channel Factory is headquartered in the United States and has global offices across 20+ cities/countries. This position will be based in the United States. 

We are looking for a detail-oriented and proactive Human Resources (HR) Assistant to join our growing team. As an assistant, you will provide administrative support to the HR department across various HR functions in the US, Mexico, and LATAM. The ideal candidate will be organized, adaptable, communicative, and eager to learn while working closely with HR to support employee relations, record management, onboarding, and other HR-related tasks. 

Key Responsibilities

  • Assist with HR-related tasks across the US, Mexico, and LATAM regions, ensuring consistent support and alignment with regional HR needs.

  • Learn and assist with the recruitment process including but not limited to outreach, screening resumes, and scheduling interviews.

  • Maintain and update HR-related files and records in electronic form, including but not limited to: trackers, personnel files, and ensure all HR-related files, and documents are compliant and correctly stored.

    • Update all necessary documentation at the request of HR. 
  • Maintain and update accurate Org Charts for the US and collect updated regional Org Charts monthly from global HR Teams.

  • Support the HR team in filing PDRs/PDPs.

  • Maintain compliance with federal, state, and local employment laws and regulations.

  • Work in collaboration with the HR team and New Hires to create Quarterly New Hire Meet & Greet PPT decks and assist with hosting New Hire Quarterly Meet & Greet events.

  • Assign New Hires to mandatory HR onboarding training via Talent LMS. 

  • Process and approve employee time sheets.

  • Schedule meetings and maintain an HR calendar.

  • Take detailed and accurate notes during meetings, ensuring key points, action items, and decisions are documented. 

  • Help organize employee events, training sessions, and team-building activities.

  • All other duties and responsibilities as assigned.

Requirements

  • BA in Human Resources, Business Administration, or related field or equivalent experience preferred.

  • At least 1+ year of administrative or HR support role. 

  • Strong organizational skills with the ability to manage multiple tasks and deadlines.

  • Detail-oriented, proactive, and able to work independently and with a team.

  • Excellent written and verbal communication skills.

  • Bilingual proficiency in English and Spanish is a plus, enabling effective communication and support across multiple regions. 

  • Ability to maintain confidentiality and handle sensitive information with discretion.

  • Proficiency in MS Office Suite (Word, Excel, PPT) and Google Suite (Gmail, Drive, Google Docs, Sheets, Slides).

  • Familiarity with HR software (HRIS, payroll systems). Experience with TriNet or similar systems is a plus.

  • A positive attitude, eagerness to learn, with a solutions-oriented mindset. 

  • Ability to travel a minimum of 15% a year for onsite meetings, training, etc.
