About the company

Overview: As a Remote Executive Assistant, you'll work directly with the founder on a daily basis across a variety of business initiatives including (but not limited to) a creative agency, angel investments, websites, and other side projects in the online business world. You will play a crucial role in ensuring business strategies across projects are handled, and acting as a direct liaison between the founder and the team. This role requires someone with executive assistant experience who can anticipate future needs, execute tasks in a timely manner, and maintain confidentiality and integrity with regards to sensitive information.  

This position is half-time to start, with the possibility of expanding into full time in the next 3-6 months. Pay is negotiable based on skills & experience.

About the role

Responsibilities:

  • Act as a liaison between the founder and the team, facilitating communication and ensuring alignment on objectives and priorities.
  • Execute timely day-to-day communications on behalf of the founder, including email management, scheduling, and follow-ups.
  • Coordinate travel arrangements, including booking flights, accommodations, and transportation, while ensuring adherence to preferences and schedules.
  • Manage the "personal operations" of the founder's life, including but not limited to, personal appointments, errands, and miscellaneous tasks.
  • Think strategically and proactively anticipate future needs, offering solutions and recommendations to enhance efficiency and effectiveness.
  • Maintain an organized file system and create Standard Operating Procedures (SOPs) as needed.
  • Take detailed notes during calls and meetings, distilling action items and following up as necessary.
  • Access Slack and other communication platforms to relay messages and information to the founder promptly.
  • Delegate tasks among the team and ensure timely completion while maintaining accountability.
  • Perform additional duties and responsibilities as assigned, demonstrating flexibility and adaptability to meet evolving business needs.

About you

Requirements:

  • 3-5 years of experience as an executive assistant or similar role, preferably in a fast-paced environment.
  • Strong organizational skills and attention to detail, with the ability to manage multiple deadlines and moving parts effectively.
  • Proficient in managing email correspondence, calendar scheduling, and travel arrangements.
  • Experience in creating SOPs from scratch and maintaining an organized file system.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with internal and external stakeholders.
  • Proven ability to think strategically and anticipate future needs, with a proactive and solution-oriented mindset.
  • Familiarity with Slack or similar communication platforms, with the ability to navigate and prioritize messages efficiently.
  • Demonstrated ability to delegate tasks and follow up to ensure completion, while maintaining accountability and integrity.
  • Commitment to maintaining confidentiality and discretion with sensitive information.

Nice-to-Haves (But Not Crucial):

  • Proficiency in Spanish language.
  • Basic knowledge of bookkeeping principles (training provided if necessary).
